This Privacy Policy explains how Virginia Soccer Alliance (“VSA,” “we,” “us,” or “our”) collects, uses, shares, and protects information through our website (https://www.virginiasocceralliance.org/) and our mobile application (“the App,” available on the Apple App Store and Google Play Store) (collectively, the “Services”).

By using our Services, you agree to the terms of this Privacy Policy. If you do not agree, please do not use the Services.

1. Who This Policy Covers

Our Services are used by parents, guardians, coaches, and league administrators to manage youth and adult soccer program registration, team communication, and scheduling.

A note on children’s information: VSA programs involve minors, but children do not create accounts, log in, or interact with the App or website themselves. All registration and account activity is performed by a parent, guardian, or coach on behalf of a child. Any information we collect about a child is provided to us directly by that child’s parent or guardian, not by the child.

We do not knowingly collect personal information directly from children under 13. If we become aware that a child has created an account or submitted information directly (without a parent or guardian acting on their behalf), we will delete that information promptly. Parents or guardians who believe their child has provided us information directly may contact us using the details in Section 9 to request its removal.

2. Information We Collect

We collect the following information when parents, guardians, or coaches register for or use our Services:

Registration Information

  • Player’s full name
  • Player’s date of birth
  • Home address
  • Emergency contact name(s) and phone number(s)
  • Parent/guardian name, email address, and phone number
  • Team and league assignment information

Account Information

  • Username and password (for parents/guardians and coaches who create accounts)
  • Communications you send to us (e.g., support requests, forms)

Automatically Collected Information

  • Basic technical information such as device type, operating system, and app version, used for troubleshooting and to keep the App functioning correctly

We do not currently collect payment information, photos or video, or location/GPS data through the Services. If this changes in the future, we will update this Policy and, where required, provide notice or obtain consent before doing so.

3. How We Use Information

We use the information we collect to:

  • Register players for teams and leagues
  • Communicate with parents, guardians, and coaches about schedules, practices, games, and league announcements
  • Maintain accurate emergency contact information for player safety
  • Verify player age/eligibility for age-group divisions
  • Respond to questions and support requests
  • Maintain the security and proper functioning of our website and App
  • Comply with legal obligations

We do not use registration information, especially information about children, for third party advertising or marketing purposes, and we do not sell personal information.

4. How We Share Information

We do not sell, rent, or trade personal information. We share information only in the following limited circumstances:

  • Within VSA: With coaches, team administrators, and league officials who need the information to run practices, games, and league operations, and for safety purposes (e.g., emergency contacts).
  • Legal reasons: If required by law, subpoena, or legal process, or to protect the safety of a child, our members, or the public.
  • Business transfers: If VSA is ever involved in a reorganization, merger, or transfer of league operations, information may be transferred as part of that transaction, subject to this Policy or a policy at least as protective.

We do not currently use third-party analytics, advertising, or marketing platforms. If we begin using such services in the future, we will update this Policy to describe what is shared and why.

5. Data Retention

We retain player and family information for as long as the player is active in a VSA program, and for a reasonable period afterward as needed for record-keeping, safety, and legal purposes (for example, maintaining historical rosters or responding to insurance or liability matters). You may request deletion of information as described in Section 7, subject to any legal retention requirements.

6. Data Security

We take reasonable administrative and technical measures to protect the information we collect, including limiting access to registration and emergency contact information to coaches and administrators who need it. However, no method of storage or transmission is completely secure, and we cannot guarantee absolute security.

7. Your Choices and Rights

Parents and guardians may:

  • Review, update, or correct their child’s registration information at any time by contacting us or their team administrator
  • Request deletion of their child’s information, subject to league record-keeping needs (e.g., we may need to retain minimal records for safety or legal compliance)
  • Opt out of non-essential communications (note: essential communications, such as game/practice changes or safety notices, cannot be opted out of while actively registered)

Depending on where you live, you may have additional rights under applicable state privacy laws (such as Virginia’s Consumer Data Protection Act), including the right to access, correct, or delete your personal information, or to appeal a decision regarding your request. To exercise any of these rights, contact us using the information in Section 9.

8. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices or for legal reasons. We will post the updated version with a new “Last Updated” date. Material changes affecting how we handle children’s information will be communicated to parents/guardians directly where practical.
